The Virtual Front Desk (VFD) platform offers a powerful printing feature that allows you to print visitor badges at the end of a sign-in form and send documents to a printer during live video calls. Both functionalities can be managed from the same station, making it a versatile solution for modern front desk operations. Please note that this feature is available exclusively on the Enterprise plan.
Printing in VFD is powered by the VFD Printer App, a background application that runs on a Windows computer and communicates with your connected printers. The app is lightweight and unobtrusive—it operates silently from the system tray, where it can be configured or closed via a right-click menu.
This guide walks you through everything you need to get started: setting up compatible printers for badge and document printing, installing and configuring the VFD Printer App, and enabling badge printing on your visitor sign-in forms. A troubleshooting section is also included to help resolve common issues such as a "Not Operational" printer status.

Printer Setup and Usage Guide
Virtual Front Desk (VFD) allows you to seamlessly print visitor badges at the end of a visitor sign-in form and send documents to a printer during video calls with customers. Both badge and document printing functionalities can operate from the same station. Please note you will need the Enterprise plan to access this feature.
The VFD Printer App runs in the background on your Windows computer. It doesn’t feature a visible dashboard or settings menu—only an icon in your system tray. You can right-click this icon to edit settings or close the app.

Visitor badges are designed for the Brother QL-820 NWBc label printer, using a black-and-white DK 2205, 2.4-inch wide roll. While other label printers with similar roll sizes may work, we recommend the Brother QL-820 NWBc for the best performance.

If your printer status shows "Not Operational," it typically indicates one of the following issues:
The Virtual Front Desk Printer App on Your Windows Computer Is Closed or Not Functioning Properly
Your Printer Is Disconnected From Your Computer or the Network
Setting up printing with Virtual Front Desk involves a few key steps: installing the appropriate printer drivers on a Windows computer, downloading and configuring the VFD Printer App from the Microsoft Store, and linking your printers to the correct location in the VFD Dashboard. The Brother QL-820 NWBc is the recommended label printer for visitor badges, using a 2.4-inch wide DK 2205 roll, while any standard document printer can be used for document printing during video calls.
Once configured, printers are shared at the location level, allowing multiple stations to use the same printer. Badge printing can be enabled directly within your sign-in form settings, and documents can be sent to print either before or during a live video call. If you encounter a "Not Operational" status, ensure the VFD Printer App is running and up to date, and verify that all printer connections are secure.
